Exporting Reports from Ventus Software

Most of Ventus Reports can be exported to Microsoft Excel and Adobe PDF file types.  Exporting to Microsoft Excel can be useful for combining reporting information and manipulating data.  Exporting to PDF can be useful for attaching reports to emails, and sending copy of reports to business associates.

Select the report, any report options, and select OK.

The report will open.  The option to export to Microsoft Excel and PDF is located in the bottom menu bar.
To Export to Microsoft Excel click the Excel button in the bottom menu bar.

When Excel is selected, the XLS Export Options Screen will open.  Show grid lines will place the grid appearance for the report when it opens in Excel.  Exporting values using their format will export the report using the format just like you see it on screen.  Export hyperlinks allow any direct access links to be exported.  Enter a title or Sheet name for the report.  Click Ok.

The Save As screen will open.  Select a location, enter a file name, and click Save.

 

The option to open the file can be selected by clicking Yes.  This will open the file in Microsoft Excel.  The option to open the file at a later time can be selected by clicking No.

To export to PDF, click the PDF button on the bottom menu.

The PDF Export Option screen will open.  Page range is for limiting or specifying which pages will be exported.  Don’t embed these fonts limits the fonts that will be exported by entering the font name.  Image quality ranges from Highest to Lowest.  The report can be compressed by selecting the Compressed option.  To print the report or open the Print screen select Show print dialog on open.  Application, Author, Keywords, Subject, and Title are all information al fields about the report being exported.  Type this information in, and click OK.

The Save As screen will open.  Select a location, enter a file name, and click Save.

The option to open the file can be selected by clicking Yes.  This will open the file in Adobe Reader.  The option to open the file at a later time can be selected by clicking No.

Handling RFI’s, Submittals, and Transmittals

This session will show you how to process job RFI’s, Submittals and Transmittals. We expect a high attendance, so enroll as soon as you can.

Location: Internet WebEx (login instructions to be provided upon registration)

Topics will include:

  • Creation of templates for RFI’s, Submittals and Transmittals.  We have formats created that will be supplied to each attendee.
  • Creation of folders within Microsoft word to store these documents
  • Using a template, creation of an RFI
  • Using VMS-developed macros with Microsoft Outlook
  • Transferring the created RFI to Microsoft Outlook Calendar for date reminder follow-up
  • Transferring the created RFI to the RFI folder within Microsoft Word
  • Within Job Cost Project Management routine, attaching the RFI as a document to a job

Have you ever entered the date incorrectly into VMS at the start of the New Year?

Now that the last decade has ended your current date will no longer have two zeros in the middle.  We have spoken to several users that tell us they are having a hard time with the year 2010 and data entry.

Here are few tricks to help you make sure you enter the year as 2010 and not 2001 or some other combination.

  1. When you are doing data entry do not enter the year at all.  You can just enter the month and day and the system will auto fill in the correct year.

     

  2. Using the number pad on the keyboard, press the plus key, located right above enter key, and the system will auto fill in today’s date.

If you do enter the wrong year then you can always go into Administration and correct the date for the transactions under misc administration functions.  However if you do have incorrect dates call VMS Support or email us at support@vertical-market.com  and we will help you make corrections.

The correction in admin will only correct the transaction itself and not the GL date.  You need to be careful when you interface into GL to make sure the dates are correct. A trick for correcting GL dates in your journal entry batch is to choose the first line in the batch and then click on “All dates” and it will auto fill your dates.  This is what the screen will look like:

 


 


7th Annual VMS User’s Conference

We are pleased to announce the date and location for the 7th Annual VMS User’s Conference:

Date: April 22-24th, 2010
          Plan to arrive on Wednesday, April 21st
          The conference will end on  Saturday, April 24th at noon

Location: Hilton Pensacola Beach
                  Pensacola Beach, Florida

Room blocks have been reserved at special rates at the Hilton, Pensacola Beach and Hampton Inn, Pensacola Beach.  The Hampton is a short walk from the Hilton Conference Center.  The reservation codes will be available in the next few days and a separate email with the code and rates will be sent to you in the near future.  Additionally, as some may wish to stay a few days before or after the conference, the same rates will apply.
 

Fees will be the same as last year - $350 per attendee.  Golf on Friday we be an additional fee.

Each year the VMS conference attendance has increased.  We look forward to the largest and best conference in 2010.  We look forward to seeing you soon!
