Tracking Job Transmittals, Submittals and RFI's

Did you know that there is a way for you to enter and track job transmittals, submittals, and RFI  documents?  Additionally, you can attach them to jobs and recall them in the Project Manager Inquiry routine in Job Cost.  Here are some of the features:
- Creation of templates for RFI's, Submittals and Transmittals

  • Creation of folders within Microsoft word to store these documents
  • Using templates, creation of new RFI's, Transmittals and Submittals
  • Using VMS-developed macros with Microsoft Outlook
  • Transferring the created documents to Microsoft Outlook Calendar for date reminder follow-up
  • Transferring the created documents to their respective folder within Microsoft Word
  • Within Job Cost Project Management routine, attaching the documents to a job

VMS support can supply documentation on how to use this powerful feature.  The documentation can be obtained in either a PowerPoint or pdf format.  Please email support@vertical-market.com  to request the documentation.  Thank you!

Templates for RFI's, Transmittals and Submittals are defined by you.  Examples of templates are attached below.

Inventory Reports

VMS SUPPORT-INVENTORY REPORTS

The VMS Support Group receives calls each month from VMS customers with questions about inventory reports, and where the reports extract their data.  Please see the attached document. As always if you have questions, you can contact us at support@vertical-market.com

INVENTORY VALUATION BY DATE REPORT

This report goes out and looks at the last physical count date and quantity.

Next it looks at the Purchase Order History file for purchases after the last physical count date.

Then it reads the Accounts receivable file and looks for sales after the physical count date.

Last it looks at the Inventory history file for any activity in Inventory such as transfers etc.

To balance this report you would need to run it with the “detail” box checked.  You will see all of the transactions from the above files.  You would add your POHIST subtract your ARINHS and then add or subtract your Inventory transfers.

ITEM HISTORY REPORT:

The item history report looks at all transactions that ever happened for an item.  Unlike the Valuation by date report, it looks at everything before and after the physical count. This report will never balance to the valuation report unless you have perfect history.

INVENTORY VALUATION – FORMAT 1

This report is printed as of real time.  It simply looks at the location file and takes the quantity on hand and multiplies by the average cost from the item file. (Depending on the costing method in the company file).
